Contracts
The register of your contracts, and the last day to give notice before a tacit renewal commits you for one more period.
Contracts gathers an organization's contracts: suppliers, customers, IT service providers, licenses and subscriptions, confidentiality agreements, data processing agreements, leases, insurance, maintenance. Each one carries its counterparty, its dates, its renewal (none, tacit or express), its notice period, its amount, its obligations, its amendments and its documents, with a log that nobody can modify.
Deadlines are calculated every day from the clauses entered: the last day to give notice, the end of the current period, the earliest end and the commitment that remains. The dashboard shows what needs a decision before it is too late, the deadline schedule can be put in your calendar, and contracts that entrust personal data without a data processing agreement are flagged. Contracts sends no messages, and it is not legal advice: read the contract again before acting.
The same register exists on the workstation, under Windows and Linux, and on Android, offline; a ZIP package that can be read without our tools moves it from one to the other.
Contracts is in preparation. It will join the Etrebil subscription catalogue when it is released.

Contract register
- A contract has a suggested code (CTR-2026-001, adjustable prefix), a title, a counterparty, an owner and a status.
- Classifies by type: supplier, customer, IT service provider, license or subscription, data processing, confidentiality, maintenance, insurance, lease, partnership, financing.
- Specifies the direction of the flow (expense, income, no flow), the amount, its frequency and the currency, and shows the amount converted to a yearly figure.
- Files each contract by category and by department, two lists that you set up yourself.
- Writes the summary and the key clauses in Markdown: service levels, penalties, reversibility...
- Attaches a contract to a framework agreement (purchase orders, data processing agreements, appendices) and adds links to CRM, Process or Docs.
- Copies a contract to prepare a similar one.
- Searches and filters the list by type, direction, situation, category, department and owner; also shows closed contracts.
- Exports the filtered list as a CSV register, or prints a contract's sheet (PDF through the browser).
Calculated deadlines
- Calculates every day, from the clauses entered, the last day to give notice before a tacit renewal starts again for a full period.
- Handles tacit renewal: periods counted from the initial end, exit postponed to the next period once the notice period has passed.
- Handles a maximum number of renewals, like a 3-6-9 lease.
- Handles express renewal: the deadline to decide is the end date minus the notice period.
- Handles the contract with no renewal and the open-ended contract, which can be terminated at any time with notice.
- Counts the notice period in months or in days.
- Calculates the earliest end and the firm commitment remaining until the nearest exit.
- Indicates the situation of each contract: upcoming, in force, notice to decide, ending soon, notice given, expired to close.
- Sets the alert window for the organization (90 days by default) or for a particular contract.
- Shows the effect of the dates while you enter them, as if the contract were signed today.
Lifecycle and decisions
- Follows a contract from draft to signature, to entry into force, to notice and then to its end; it can also be abandoned.
- Records the notice with the notification date, the party and the resulting end date, suggested from the notice period; it can be withdrawn.
- Records the deadline decision: renew, give notice or renegotiate.
- Renews a contract with express renewal.
- Records amendments, which carry over the amount and the end date.
- Reopens a closed contract, reserved to the administrator.
- Keeps a log that nobody can modify: creation, status changes, notices, decisions, amendments, documents, obligations, imports.
Obligations
- Tracks the obligations of your company or of the counterparty: deliverable, payment, price review, report, audit, certificate, meeting.
- Schedules them once or every month, quarter, half-year or year.
- Automatically creates the next one when a recurring obligation is done, without going beyond the end of a contract on which notice has been given.
- Lists the obligations to do over 30 days, 3 months or 1 year.
- The person responsible marks the obligation as done, even with a reader role.
Documents and counterparties
- Uploads the signed copy, amendments, quotes, correspondence, proof of notice and appendices.
- Opens or downloads each document; each one keeps its SHA-256 fingerprint.
- Keeps a light record per counterparty: type, legal identifier, VAT, country, address, contact, website, notes.
- Marks a counterparty as a critical provider when an important activity depends on it.
- Links a counterparty to its CRM record.
- Shows for each counterparty its contracts and the weight of its current contracts.
Dashboard and deadline schedule
- Puts at the top the notices to decide, the endings approaching and the expired contracts to close.
- Lists the obligations of the next 30 days and the contracts in preparation.
- Flags contracts that entrust personal data without a data processing agreement in force with the same counterparty.
- Totals the yearly expenses and income and the remaining commitment, by currency.
- Month-by-month schedule over 3, 6, 12 or 24 months.
- Generates an iCalendar agenda to import into Outlook, Google Calendar or your phone, with a reminder one week before the deadlines.
- Sends no messages: the agenda serves as the reminder.
Permissions and access
- Three roles: reader, manager, administrator, mirroring the Etrebil account.
- Restricted access: a restricted contract is visible only to administrators, its owner and its author, in lists, totals, the deadline schedule and the export.
- Single sign-on with your Etrebil account; each organization sees only its own data.
- In read-only mode (no license), you can read and export without modifying.
- The lists of categories and departments, the default currency and the code prefix are set in Lists and settings.
Import and export
- Exports the organization as a ZIP archive that can be read without our tools: CSV register, counterparties, obligations, iCalendar agenda, contracts as JSON and summaries as Markdown.
- Includes the original documents in the archive; only the contracts the person can see are exported.
- Imports a package in Add mode (alongside, under a code ending in IMP) or Replace mode (administrators).
- Recognizes counterparties by their legal identifier then their name, and people by their account then their address.
- Checks the archive on import: size and paths limited, allowed extensions, fingerprints verified, all in a single transaction.
- Moves contracts from the server to the workstation or the phone and back.
On your devices
- Web: the complete application, with single sign-on, license, data on the server and two guided tutorials: handling a notice to decide, following a recurring obligation.
- Windows desktop: MSIX package, offline register on the workstation.
- Linux desktop: .deb and .sh packages for amd64 and arm64, offline register.
- Android: the same interface, offline, without a server.
- The ZIP package moves contracts from one device to another.
Good to know
- Deadlines come from the dates and clauses you enter: a notice period copied incorrectly gives a wrong date. This is not legal advice, read the contract again.
- The flagging of data processing agreements is an aid to vigilance, not proof of compliance.
- The server is not online yet; the Linux amd64 version is built but has not been run.
- On Android, the application started without error, but the interface has not been seen on screen.
- The printable sheet shared from the phone is HTML without formatting.
- The links to CRM, Process or Docs are simple addresses, with no check that the target exists.
Planned (not available yet)
- Electronic signature: for now the signed copy is uploaded as a document.
- Email reminders.
- License for the offline counterpart and publication on the Microsoft Store.
