Payroll

Contracts, pay periods and payslips frozen at issue, with a log of everything that is read.

Payroll keeps an organization's pay records: employers, employees with their contracts and amendments, rule sets by country, the variable elements of each period (bonuses, overtime, absences, advances) and payslips. A payslip is calculated, validated, then issued. Once issued, it becomes a numbered document whose lines and rule set are frozen and can no longer be modified: an error is corrected by a corrective payslip that cancels and replaces it.

No compliance is claimed. The two rule sets supplied, France and Belgium, are examples of structure: their rates, ceilings and brackets are orders of magnitude, unofficial and not up to date. A payroll manager or a chartered accountant must validate them before any real use and maintain them every year. Each printed payslip says so until the validation has been attested.

Sensitive data (social security number, IBAN) is encrypted and masked, and every reading, printing or export of a payslip is entered in an access log. Employees see only their own issued payslips. Social declarations and salary transfers are not covered.

The same tool exists on the workstation, under Windows and Linux, and on Android, offline: the social security number and the IBAN are encrypted in its database, and the export package masks them by default. Under Windows the keys are protected by the account; under Linux and on Android they stay next to the database.

Every feature of Payroll

65 features in 10 areas

Employers and employees

  • Employer record: company name, country, company number (SIRET, BCE or a generic number depending on the country), address, default rule set.
  • Employee record: identity, address, status (cadre, non-cadre, manual worker, employee), family situation, entered withholding tax rate.
  • Contracts: start, end, type (CDI permanent, CDD fixed-term, work-study, internship), working time, monthly salary or hourly rate.
  • Dated amendments, which change the contract conditions from their date.
  • Stable external key to find the same person from one HR export to the next.
  • Imports employees from a CSV: creation or update based on the external key.
  • Filters employees by employer and by search, with or without departed employees.
  • Displays amounts in the currency of the employer's country.

Rule sets by country

  • Supplies a 2026 example rule set for each of the 27 countries of the European Union.
  • Describes each set as items: earning, employee or employer contribution, deduction, benefit in kind, tax.
  • Sets for each item its base (gross, capped gross, bracket, taxable net, fixed amount), its rate, its ceiling or brackets, and its posting accounts.
  • States whether the item is taxable or deductible, and to which statuses it applies.
  • Copies a supplied set to correct a figure; the supplied sets remain read-only.
  • Creates an empty set, with its validity period, its version and its source.
  • Chooses rounding to the cent: half up, half to even, or truncation.
  • Restores the missing supplied sets to the organization.
  • Refuses to calculate outside the set's validity period.
  • Puts the set back to rates to be validated as soon as a figure is changed.

Pay periods

  • Opens one period per employer and per month.
  • Enters each employee's variable elements: bonuses, increased-rate overtime, unpaid absences, benefits in kind, advances and deductions, allowances.
  • Switches the rule set for a period.
  • Calculates, validates then issues payslips in batches, with three numbered buttons.
  • Calculates the proration for arrivals and departures during the month, and applies working time to the ceilings and brackets.
  • Exports a period's payroll entries as CSV for accounting, with accounts adjustable per item, debit equal to credit.
  • Home: periods in progress, payslips to validate and to issue.

Payslips

  • Moves each payslip from draft to validated then issued; recalculates or unvalidates as long as it is not issued.
  • Numbers issued payslips by employer and by year.
  • Freezes the lines, the rule set and the identities at issue: an issued payslip can no longer be modified.
  • Corrects an error with a corrective payslip that cancels and replaces the original.
  • Calculates annual totals: gross, taxable net, tax.
  • Prints the payslip or saves it as a PDF.
  • Deletes a payslip as long as it is a draft.

Sensitive data and access

  • Encrypts the social security number and the IBAN, masked everywhere except on explicit reading by a manager.
  • Three roles: payroll manager, read-only, employee.
  • Employees see only their own issued payslips, found through their Etrebil email, in My payslips.
  • Access log: every reading, printing, export or reading of identifiers is recorded with who, when, what; filterable by action and by date.
  • Access and roles page to activate colleagues and give them a role.
  • Single sign-on with your Etrebil account; each organization sees only its own data.

Import and export

  • Exports the organization as a ZIP archive that can be read without our tools: employers, employees, rule sets, periods, payslips as JSON and CSV, each issued payslip as printable HTML, access log.
  • Masks identifiers in the export by default; writing them in clear is a manager's choice, and is logged.
  • Exporting remains allowed in read-only mode.
  • Imports a package: never replaces an issued payslip already present and does not take over drafts or validation attestations.
  • Checks the archive on import: size and paths limited, SHA-256 fingerprints verified, all in a single transaction.

Tutorials

  • Copy a rule set and correct a rate.
  • Calculate, validate and issue a period.
  • Issue a corrective payslip.
  • Export the payroll entries and the package.
  • The figures entered in a tutorial are examples, never presented as official.

On your devices

  • Web: the complete application, with single sign-on, license and data on the server.
  • No desktop application and no Android application for now.
  • Not available yet: the live link with HR; until then, the external key and the CSV import bridge the gap.

Good to know

  • No compliance is claimed: the rule sets are examples of structure whose rates, ceilings and brackets are to be validated.
  • A payroll manager or a chartered accountant must validate each set before any real use, then maintain it every year.
  • Each printed payslip carries the notice of a set to be validated until the organization has attested the validation; Payroll does not check this attestation.
  • Does not cover social declarations (DSN, Dimona), salary transfers, or the withholding tax scale, whose rate is entered.
  • Does not cover either paid leave, final settlements, supplementary insurance and health cover, or the splitting of a month into two contract conditions.
  • The calculation of a corrective payslip does not recalculate the payslips of the following months that have already been issued.
  • No integration with accounting: a CSV of entries, nothing more.
  • Has not been tried on a real MariaDB database or with the real Etrebil sign-in; the tutorials have not been played in a browser.

Workstation, phone and exchanges

  • Works offline under Windows and Linux, and on Android.
  • Encrypts the social security number and the IBAN in the workstation database.
  • Protects the keys with the Windows account; under Linux and on Android they stay next to the database.
  • Masks the number and the IBAN by default in the export package, which is therefore not a full backup.
  • No longer decrypts a database copied without its keys.
  • Exports and imports a ZIP package readable without our tools.
