Property

Your rental properties in order: leases, rents, service charges, inspection reports and incidents.

Property tracks your property portfolio building by building and unit by unit, from the signed lease to the last service charge statement.

Rent due dates are generated automatically, payments are matched in a single step, and late payments show up before they turn into unpaid rent.

Do you manage with a partner or a property manager? Share a whole building or a single unit: each person sees only what has been entrusted to them.

Every feature of Property

73 features in 11 areas

Portfolio

  • Creates buildings with their address, floors and units or properties (apartment, garage, cellar, commercial space...), or several units at once.
  • Describes each unit: surface area, number of rooms, floor, rent, purchase price and current value with their dates, and standard room layout.
  • Keeps the technical surveys of each dwelling, including the energy performance certificate, with their validity dates.
  • Maintains the meter readings, technical equipment and cadastral plots of each property.
  • Tracks keys and badges: handed to the tenant, returned, duplicated, lost, destroyed, handed to a third party.
  • Attaches floor plans to a property and documents to each building, unit, lease or incident.
  • Shows each building as a facade in which every unit is colored by its situation: in good standing, unpaid, open incident, looking for a tenant, notice given, vacant, not for rent.

Letting

  • Follows the whole letting process: listing, applications, viewings, then lease.
  • Writes the listing (title, rent, service charges, security deposit, fees, energy class, availability) and publishes, suspends, archives it or marks it as let.
  • Notes where the listing is advertised.
  • Records applicants, individuals or companies, with income, expenses, guarantors and supporting documents provided, then analyzes each application.
  • Accepts or rejects an application with its reason, and prepares the lease from the accepted applicant.
  • Schedules viewings with date, duration, visitor, report and a rating out of five.

Leases

  • Creates a lease step by step: unit, tenants (shared tenancy possible), guarantors, dates, rent, service charges, security deposit and reference index.
  • Prepares the move-in inspection report from the unit's rooms, and the move-out report pre-filled from the move-in one.
  • Documents the inspection report: rooms, items, photos, furniture and equipment, water, gas and electricity readings, tenant's reservations.
  • Compares move-in and move-out, then validates the inspection report or reopens it.
  • Records a notice to leave (by the tenant or by the landlord, with its reason), calculates the notice period and records the move-out.
  • Tracks the tenant's home insurance and its expiry date.
  • Collects the security deposit, records justified deductions and returns the balance.
  • Shows the complete timeline of the lease.

Rents and payments

  • Generates the rent due dates of a lease.
  • Records payments (date, method, amount, reference) and allocates them to due dates.
  • Shows paid, outstanding and late amounts, by lease, building, month or year, with unpaid rent from all years.
  • Issues the receipt for the month and files it in the lease documents.
  • Prepares reminders for unpaid rent and waits for your confirmation before recording them.
  • Calculates the annual rent revision from the chosen index (IRL, ICC or ILAT) and submits it for approval before applying it.
  • Produces the receipt, reminder and revision letters as PDF.

Service charges

  • Defines the charge items of a building, with their category and whether they are recoverable or not.
  • Allocates charges using allocation keys that you create.
  • Enters supporting expenses and annual rates, and tracks the advance payments called.
  • Calculates the annual settlement of each lease from the actual recoverable charges and the advance payments.
  • Produces the statement as PDF, files it in the lease documents and tracks its status: to calculate, to notify, to settle.
  • Closes the settlement once the tenant has paid it.

Incidents and work orders

  • Reports an incident (breakdown, leak, damage claim, nuisance...) on a building or a unit, with its severity.
  • Moves it forward through statuses: qualified, in progress, pending, resolved, rejected, closed, with the possibility of reopening.
  • Keeps the follow-up log of each incident.
  • Orders work from a contractor, with quote, planned date, completion and actual cost, which is added to the cost of the incident.
  • Records the damage claim with the insurer: number, date of declaration, liability and compensation.
  • Keeps the contractor's contact details on each work order.

Owners and transfers

  • Keeps the individuals and companies that hold the portfolio: identity, marital status, address, legal form, share capital, SIREN.
  • Records, for each property or company, the ownership rights: full ownership, usufruct, bare ownership, with each person's share.
  • Shows each person's holdings in a look-through view across their companies.
  • Prepares a transfer with a wizard (sale, gift, inheritance, share transfer, partition...) that updates the beneficiaries' rights once validated.
  • Simulates a planned gift without touching the recorded rights.
  • Estimates the duties on a transfer, taking gifts already made into account; estimate to be checked.
  • Carries the former partner-and-property links over to the new ownership model.

Dashboard and search

  • Summarizes the portfolio: properties, occupancy rate, rents paid and unpaid, oldest arrears.
  • Lists the tasks to carry out by urgency: unpaid rent, notices, move-ins and move-outs, inspection reports, listings to publish, revisions, settlements, insurance, surveys, incidents.
  • Lets you postpone a task, mark it as done or ignore it; its status is shared between your devices and kept.
  • Sets the thresholds that turn a situation into an alert.
  • Flags dwellings in energy classes G, F and E ahead of the rental bans announced by law, based on the most recent survey; to be checked.
  • Tracks vacancy and displays a cockpit per building: alerts, unpaid rent, advance payments and charge expenses.
  • Finds buildings, units, people and leases through a global search.

Sharing and administration (web)

  • Each account has its own space; you sign in with your Prophetix account, with no password specific to the application.
  • Shares the whole portfolio, a building or just a unit with another person, through a single-use invitation.
  • Gives each person a role: reader, manager (entering leases, payments, charges, incidents, documents) or owner (sharing and removing access).
  • Imports buildings and units from an xlsx workbook or a csv file with a preview before writing, and exports the portfolio in the same format to update it in bulk.
  • Provides a tool that copies the database of an existing desktop application to the server.
  • Lets an AI assistant consult the portfolio through the MCP protocol, with a token that you create and revoke on the Prophetix portal.
  • Optionally allows the assistant to write, limited to incident follow-up and status, signed with the agent's name.
  • Gives the administrator control over email, alerts, accounts and license checks.

On your devices

  • Web: portfolio, letting, leases, rents, service charges, incidents, owners, transfers, tasks, sharing and import, on computer as well as on phone; property floor plans remain specific to the desktop.
  • Windows: desktop application with its data on the computer, automatic backups before each data update and a link to HomePlan to draw the floor plans of a property.
  • Windows: an optional section of legacy screens adds cash flow projections, taxation, a purchase simulator, market analysis and reports.
  • Linux: desktop application covering all the modern screens of the Windows version, with the same PDF letters.
  • Android: consults leases, tenants, companies and inspection reports (rooms, photos, readings), with a database on the device.

Good to know

  • Estimates of transfer duties and tax calculations are aids to be checked; they do not replace advice.
  • Receipts, reminders, revision notices and statements are letter templates to be reviewed before sending.
  • On Linux, nothing has been launched on a real display yet: the screens were checked in an environment without a screen.
  • On Linux, the legacy screens are not ported, and HomePlan does not exist there: a plan can be imported as a file but not drawn.
  • The Android version keeps its data on the device and does not synchronize with the web server.
  • On the web, a subscription plan without Property gives read-only access.
