Cash register

The cash register for your shop: counter sales, stock, customers and till closing.

Caisse installs on your device (Windows and Linux) and opens with your Prophetix account, the same one as for the web applications.

Caisse records counter sales: items scanned by barcode, payment by several means, change calculated. Each salesperson has their own access, according to their role.

The till is opened with a float and closed by counting cash, cards and checks, compared with the expected amount. Stock follows every sale, every return and every adjustment; quotes, orders, delivery notes and invoices follow one another for account customers.

Counter sale

New sale in one click, with optional choice of a customer.
Item search by code, label or barcode, and direct reading from a barcode reader into the search box.
Basket with quantity × unit price, quantity adjustment with plus and minus, removal of a line.
Totals excluding tax, VAT and including all taxes recalculated at every line.
Cancellation of the current sale to start again with an empty basket.
Validation of the sale, which updates the stock automatically.

Payment

Payment window with total to pay, amount paid, remainder and change to give calculated.
Payment by several means on the same sale: cash, bank card, check, transfer and credit.
Quick amounts in one click (5, 10, 20, 50, 100, 200 and 500 euros) and a button to settle the remainder.
Optional reference for each payment recorded.

Till and closing

Opening of the till with a starting float and remarks.
Suspension and reactivation of the till during the day.
Closing by counting cash, cards, checks and other means, compared with the expected amount, with the difference for each.
Till history: opening, closing, final float and difference.

Items, families and suppliers

Item record: code, barcode, label, description, reference, unit, purchase price, sale price excluding tax and including all taxes, VAT rate, discount rate.
Item options: active, discountable, remarks.
Search by code, label or barcode; soft deletion that keeps the sales history.
Item families with parent family, subfamilies, display order and visibility.
Supplier record: company name, address, country, telephone, fax, email, website, SIRET and VAT number.

Stock

Quantity in stock, minimum stock, maximum stock and alert threshold for each item.
Stock movements: receipt, issue, inventory, transfer, adjustment, sale and return, with quantity before and after.
Movement history of an item and stock value.
Items below the alert threshold highlighted to show what to reorder.

Customers and customer accounts

Customer record: title, last name, first name, company name, addresses, telephones, email and website.
Commercial information: default discount, credit limit, account balance (positive when in credit, negative when in debt).
Tax information: VAT number and SIRET.
Blocking of a customer to suspend their purchases, and internal remarks.
Search by last name, first name, email or telephone.

Sales documents

Document chain: quote, order, delivery note, invoice and credit note.
One-click conversion of a document into the next (quote into order, order into delivery note or invoice, delivery note into invoice).
Creation of a credit note in negative amounts from an invoice.
Display of a document's complete chain, filters by type, customer, period and status.

History and statistics

Sales history with search by document number and filters by period, customer, status and type.
Sale detail: lines, total excluding tax, VAT and total including all taxes.
Dashboard: revenue, number of sales, average basket, number of customers and items.
Periods today, this month and this year; sales by month over 12 months and top 10 items over 30 days.

Users and roles

Sign-in by user name and password at startup.
Roles: administrator, manager, salesperson, cashier and view-only, with permissions prefilled according to the role.
Permissions per user: sell, cancel, change prices, grant discounts up to a maximum, manage stock and customers, view statistics.
Creation, editing, search and deletion of users.

On your devices

Windows desktop application, with a local database on your computer.
Linux version: same screens (sale, till, items, stock, customers, documents, statistics, users).
Prophetix account built in: My space and sign-out.
No web or mobile version for now.

Planned (not available yet)

Printing and export of receipts and invoices: the button exists in the history, with no action for now.
Thermal printers, cash drawers and payment terminals.
Optimized touch interface and synchronization between workstations.
Direct creation of a quote or an order from an entry screen.

Good to know

The role permissions are saved but not yet applied to the screens; sales are attributed to the administrator by default.
Sales are not yet attached to the open till: the expected amounts at closing remain to be checked.
User passwords are not yet protected by hashing; to be fixed before real use.
The initial demonstration account must be changed, and the items and customers provided are examples.
Linux version not verified on a real workstation.
