CRM

Your contacts, your companies and the history of your exchanges, with what to follow up on and when.

In preparation Create an accountAlso for

CRM keeps the memory of your relationships: contacts and companies, calls, emails, meetings and visits with their reports. The date of the last contact is maintained automatically, and the dashboard suggests the people to follow up with. It makes no assumption about what you track in it: sales, partnerships, memberships, recruitments or grants, it is up to you.

Dated tasks (follow-up, call, appointment) are assigned to a colleague, and opportunities move through as many pipelines as needed, with their total and their weighted forecast. Collections of best practices, playbooks that turn into tasks, and templates for emails or reports help the whole team work in the same way.

The product takes GDPR into account day to day: legal basis, date of consent, objection to prospecting displayed everywhere, deletion of the record with its history. It does not claim, however, that your organization is compliant: that remains to be checked with your legal counsel. Roles and teams control who sees what. It also includes email campaigns, sent through your company's server, and one-off messages signed from your domain; a single suppression list serves both.

CRM is in preparation. It will join the Etrebil subscription catalogue when it is released.

Every feature of CRM

124 features in 20 areas

Dashboard and tasks

  • Displays as tiles the overdue tasks, today's tasks, open opportunities and the weighted forecast.
  • Lists your current tasks and lets you tick them off as done.
  • Suggests the people to follow up with: prospects and customers with no exchange for more than 30 days.
  • Shows the latest exchanges logged by the team.
  • Creates a contact, a company or an opportunity in one click from the home page.
  • Schedules a dated task: call, email, appointment, follow-up or to-do, with a priority.
  • Assigns the task to a colleague and attaches it to a contact, a company or an opportunity.
  • Groups tasks as overdue, today, this week and upcoming.
  • Filters by person (me, everyone) and by status; reopens, cancels or edits a task.

Contacts and companies

  • Contact record: title, first name, last name, job title, company, email, phone, mobile, address, website, notes.
  • Tracks the lifecycle: suspect, prospect, customer, former customer, partner.
  • Applies tags (VIP, trade show...) and notes the source of the contact.
  • Searches by name, address, phone or company; filters by lifecycle, tag, owner or archived records.
  • Archives a record to take it out of the lists without losing it, or deletes it with its entire history.
  • Opens an email to the contact in your mail application.
  • Company record: contact details, website, industry, headcount, legal identifiers (SIREN, VAT number) and notes.
  • Classifies each company as prospect, customer, partner, supplier or former customer.
  • Gathers on the record its contacts, its opportunities and the history of all its exchanges.
  • Creates a contact or an opportunity already attached to the company.
  • Searches and filters companies by relationship, tag, owner or archiving.

Exchange history

  • Logs a call, an email, a meeting, a video conference, a message, a letter, a visit or a note.
  • Specifies the direction (incoming, outgoing, internal), the duration, the subject, the details and the outcome.
  • Schedules the next step directly while logging the exchange.
  • Corrects or deletes a logged exchange.
  • Maintains by itself the date of the last contact for each record.
  • Uses a template for an email, a call script or a report and logs it as an exchange.

Opportunities and pipelines

  • Tracks each deal with its amount, its currency, its probability and its expected closing date.
  • Displays the pipeline in columns by stage, with the total for each stage.
  • Moves an opportunity to another stage in one click; the total at stake and the forecast weighted by probabilities update.
  • Marks a deal as won or lost, with the reason for the loss.
  • Sets up as many pipelines as needed (sales, partnerships, recruitment...), with stages, probabilities and won or lost nature.
  • Reorders the stages, chooses the default pipeline.
  • Offers to launch the recommended playbook when an opportunity reaches the planned stage.

Best practices

  • Organizes the team's knowledge into collections: prospecting, customer relations, GDPR...
  • Writes articles in Markdown with tags; a member writes a draft, a manager publishes it.
  • Keeps the versions of an article, reviews them and restores them; archives an article or puts it back to draft.
  • Creates playbooks: a step-by-step procedure that creates one dated task per step on a contact, a company or an opportunity.
  • Associates with each step of a playbook a deadline, a template to use and an article to reread.
  • Writes templates for emails, call scripts, reports or messages whose variables are filled in from the record.
  • Searches articles, templates and playbooks.
  • A new organization receives a starter set: prospecting, customer relations and GDPR.

Permissions, personal data and log

  • Four roles: administrator, manager, member, reader.
  • Visibility of each record: the whole organization, a team or the owner only.
  • Creates teams and assigns staff to them; activates or deactivates a staff member.
  • Hides from others an exchange or a task attached to a private record: a report does not give away a private opportunity.
  • Log for each record and for the organization: who created, modified or deleted what, and when.
  • Filters the log by author and by record type.
  • Single sign-on with your Etrebil account; each organization sees only its own data.
  • Records the legal basis of the processing: legitimate interest, consent, contract, legal obligation.
  • Notes the date of the consent obtained.
  • Flags the people who object to prospecting, and displays it on the record.
  • Deletes a record with its entire history to answer an erasure request.
  • Helps keep this information; your organization's compliance remains to be checked with your legal counsel.

Import and export

  • Imports contacts from another tool from a CSV, with columns recognized in French or in English.
  • Discards duplicates by email address and creates the companies as needed.
  • Exports everything as a ZIP archive readable without our tools.
  • The package contains the data as JSON, CSV files for spreadsheets, the contacts as vCard and the articles as Markdown.
  • Imports a package in Merge mode (adds, updates, no duplicates) or Replace mode (restoration, administrators).
  • Checks the archive on import: size bounded, format verified, the person's permissions applied line by line.

AI agents

  • An MCP endpoint lets an AI agent read and complete the CRM on behalf of a person, with only that person's rights.
  • Read: search, open a record, read the history, the tasks, the pipeline and the best practices.
  • Write, if the person grants it: log an exchange, schedule or complete a task, launch a playbook, create a contact.
  • Nothing irreversible: no tool deletes or sends anything.
  • Every write is signed with the person's name followed by AI agent, in the log and on the record.
  • The agent's token is created on the Etrebil portal.

Tutorials

  • Moving an opportunity through the pipeline and reading its probability.
  • Launching a playbook on a contact.
  • Reading an article and using an email template.
  • Connecting an AI agent: MCP endpoint address, tools and signature in the log.
  • A bubble points to the element to use and waits for your action.

On your devices

  • Web: the complete application, with single sign-on, license, MCP endpoint for AI agents and data on the server.
  • Desktop: the same application locally, offline, on Windows and on Linux Ubuntu (amd64 and arm64 packages); data on the computer.
  • Desktop and server exchange through the ZIP package in Merge mode: the most recent change wins.
  • Android: the same interface, offline and without permissions; exports go through Android's share sheet.

Good to know

  • The desktop counterpart is not offered yet: its license is not connected and the Microsoft Store publication remains to be done.
  • The Android application is built but has not yet been tried on a phone.
  • No synchronization between server and computer; the tutorials have not been played in a browser.
  • Not available yet: attachments to exchanges, to be connected to the future Documents and OCR service.
  • Not available yet: AI agents on the desktop, only the web server hosts them.

Campaigns: Contacts and lists

  • Keeps these contacts apart from the CRM records: they are imported from a CSV file, with no live link to them.
  • Records each contact's address, first name, last name, company and language.
  • Requires, when entering and importing, the legal basis for writing to them (consent, legitimate interest, customer), its origin and its date.
  • Sorts contacts into lists; a contact can be in several lists and receives a message only once per campaign.
  • Imports contacts from a CSV, merges duplicates in the file and lists invalid addresses.
  • Exports contacts as CSV, with spreadsheet formulas neutralized.

Campaigns: Suppression list

  • Applies the suppression list at launch, then again at the moment of each message.
  • Adds to it every unsubscribe, every hard bounce and every complaint.
  • Reserves removal of an address to an administrator, with the reason.
  • Applies the right to erasure: the person disappears, only the fingerprint of their address remains, so a re-import does not recreate them.
  • Shares this list with the signed messages: an unsubscribe through one blocks the other.
  • Deletes, along with the CRM record, the person's campaign contact and signed messages.

Campaigns: Campaigns and messages

  • Writes the message once in Markdown, without raw HTML, with filtered links and https-only images.
  • Merges first name, last name and company, with a fallback value, protecting the inserted text.
  • Shows a preview with a sample contact and sends a test message to an address.
  • Adds a mandatory footer with the organization's postal address and the way to unsubscribe.
  • Moves a campaign from draft to scheduled, running, paused, then finished or cancelled.
  • Freezes the content from launch.
  • Refuses to launch until the postal address, the SMTP server and the unsubscribe method are set.

Campaigns: Sending

  • Sends through the company's SMTP server, with a per-minute rate and a daily limit set for the organization.
  • Retries temporary errors, and suppresses a mailbox refused for good.
  • Allows pause, resume, cancellation and scheduled launch.
  • Shares a campaign between several server instances without ever sending the same message twice.
  • Takes back batches abandoned by an instance stopped mid-send.
  • Keeps the SMTP password encrypted.

Campaigns: Unsubscribing

  • Puts a signed unsubscribe link in every message, leading to a public confirmation page.
  • Adds the RFC 8058 "one-click" header, so that mail apps can unsubscribe in one gesture.
  • Does not unsubscribe on opening the link: a confirmation button is required.
  • On the workstation, where recipients can reach no site, unsubscribes by "STOP" reply handled by hand.

Campaigns: Results and roles

  • Shows a campaign's live progress and the result message by message: status, attempts, identifier and error.
  • Exports results as CSV and keeps a campaign log that nobody can modify.
  • Distinguishes reader, writer, sender and administrator.
  • Records neither opens nor clicks.

Campaigns: Workstation, phone and exchanges

  • Works offline under Windows and Linux, where it can send.
  • Works on Android to prepare and read results, without sending.
  • Exports and imports a ZIP package readable without our tools.
  • Puts back into draft, on import, any campaign that is running, paused or scheduled.

Signed messages: Sending domains

  • Generates a DKIM signing key for each sending domain, renewed by rotation, and lists the DNS records to publish.
  • Checks the domain's SPF and DMARC records and says whether it is ready to send.

Signed messages: One-off sending

  • Sends one message to one person at a time, triggered by another product (a workflow) rather than as a campaign, from a template.
  • Signs each message with DKIM from your organization's domain.
  • Puts the one-click unsubscribe of RFC 8058 in each message.
  • Honors the suppression list shared with the campaigns.
  • Keeps no contact list and tracks neither opens nor clicks.
  • Exists on the web only.
